Privacy policy

This policy explains what personal data we process when you use the viatron.ro website and how we protect it, in accordance with Regulation (EU) 2016/679 (GDPR) and applicable Romanian law.

1. Who the data controller is

2. What data we process and why

  • The contact form: name, email, company and telephone (optional), type of request, description of the process, apps used (optional) and the date of consent. Purpose: to respond to your request and prepare a proposal. Legal basis: your consent (Article 6(1)(a) GDPR) and steps taken at your request prior to entering into a contract (point (b)).
  • The chat demo on the page (prepared answers, not real AI): the messages you type are sent to our server in order to receive a reply and are not stored. Please do not enter personal data in the chat. Legal basis: our legitimate interest in providing the requested functionality (point (f)).
  • Security and anti-spam: the IP address is used in a shortened form (hash) to limit the number of messages sent and, in full, in the web server logs. Legal basis: our legitimate interest in protecting the website (point (f)).
  • The contractual relationship: if you become a client, we process the data necessary for the contract, invoicing and accounting. Legal basis: performance of the contract (point (b)) and legal obligations (point (c)). For projects in which we process data of your customers, we conclude a data processing agreement.

3. How long we keep the data

  • Form submissions: contact details (name, email, telephone) are automatically deleted from the website's database after 7 days. The notification message received by email is kept only for as long as necessary to reply to you and, if you become a client, for our collaboration.
  • Server logs: 30 days.
  • Financial and accounting documents: 10 years, as required by law.

4. Who we may disclose the data to

The data is not sold and is not used for advertising. It may be accessed only by the providers who help us operate the website, acting as processors: the hosting provider (Contabo GmbH, Germany), the email provider (Brevo, France) and the accountant. If data is transferred outside the European Economic Area, we do so only with appropriate safeguards (for example, standard contractual clauses).

5. Your rights

You have the right of access, rectification, erasure, restriction, portability and objection, as well as the right to withdraw your consent at any time (without affecting processing carried out before the withdrawal). For any request, you can write to us at [email protected]; we reply within 30 days at the latest.

6. Cookies

The website does not use tracking or marketing cookies. Details are in the Cookie policy.

7. Security

The website uses an encrypted connection (HTTPS), and access to data is restricted and protected. We make daily backups on the server and an external copy every 3 days. However, no system is invulnerable; if a security breach occurs that affects you, we will notify you as required by law.

8. Changes

We will update this page if the way we process data changes. The date of the last update is shown at the top of the page.
